MONARK OS Privacy Policy

1. Overview

Monark LLC ("Monark," "MONARK OS," "we," "us," or "our") respects your privacy and is committed to protecting personal information.

This Privacy Policy explains how we collect, use, store, share, and protect personal information when churches, church staff, administrators, authorized users, or website visitors use MONARK OS, visit our website, communicate with us, request support, sign up for our services, or otherwise interact with us.

For purposes of this Privacy Policy, "Platform" means MONARK OS and related websites, applications, services, forms, support channels, communications, and features provided by Monark.

MONARK OS is designed for churches and authorized church staff. It is not intended for direct use by church members, visitors, donors, parents, guardians, or children unless access is provided or authorized by the church.

Please read this Privacy Policy carefully. By using MONARK OS or interacting with us, you agree to the practices described in this Privacy Policy.

2. Monark's Role

MONARK OS serves churches by providing software tools that help churches manage their operations, including people, attendance, communications, giving, reports, administration, and related ministry workflows.

In many cases, Monark acts as a service provider or processor on behalf of the church. This means the church controls the information it enters into MONARK OS, and Monark processes that information to provide the Platform and related services.

When a church enters, uploads, imports, or manages information about its members, visitors, donors, children, parents, guardians, staff, volunteers, or ministry contacts, the church is responsible for having the proper rights, permissions, notices, and consents to collect and use that information.

Churches are responsible for their own privacy notices and privacy practices with respect to the people they serve.

3. Information We Collect

We may collect personal information in several ways.

3.1 Information You Provide Directly

We may collect information you provide when you:

  • Create an account
  • Register your church
  • Request a demo
  • Join a beta program
  • Contact support
  • Submit a form
  • Send us an email or message
  • Use the Platform
  • Set up billing
  • Communicate with us through WhatsApp, email, or support channels

This information may include:

  • Name
  • Email address
  • Phone number
  • Church name
  • Church role or title
  • Login credentials
  • Account information
  • Billing information
  • Support messages
  • Feedback
  • Bug reports
  • Communication preferences
  • Any information you choose to provide

3.2 Information Collected Automatically

When you use MONARK OS or visit our website, we may automatically collect certain information, including:

  • IP address

  • Operating system
  • Pages visited
  • Features used
  • Referring URLs
  • Login activity
  • Usage logs
  • Error logs
  • Security logs
  • Date and time of activity

3.3 Information Entered by Churches Into MONARK OS

Churches may enter, upload, import, or manage information inside MONARK OS, including:

  • Member information
  • Visitor information
  • Household and family information
  • Children's information
  • Parent or guardian information
  • Attendance records
  • Check-in records
  • Follow-up tasks
  • Prayer requests
  • Care cases
  • Donation and giving records
  • Giving statements
  • SMS and email communications
  • Ministry and volunteer information
  • Staff accounts
  • User roles and permissions
  • Audit logs
  • Documents and uploaded files
  • Notes and internal records
  • Other church operational data

This information belongs to the church. Monark processes this information to provide, support, secure, and improve MONARK OS.

4. Children's Information

MONARK OS may include features that allow churches to manage children's information, such as nursery check-in, guardian information, child profiles, allergies, special notes, attendance, and emergency contact information.

Monark does not knowingly collect personal information directly from children. Children's information may be entered into the Platform by churches or authorized church staff for church operational purposes.

The church is responsible for obtaining any required parental, guardian, or legal consent before entering children's information into MONARK OS.

If you believe children's information has been entered into MONARK OS without proper authorization, please contact the church directly or contact us at support@monarkos.com.

5. How We Use Information

5.1 To Provide the Platform

We use information to operate MONARK OS, create accounts, authenticate users, display church data, provide features, process requests, and deliver services.

5.2 To Support Churches and Users

We use information to provide customer support, troubleshoot issues, respond to questions, investigate bugs, and improve user experience.

5.3 To Process Payments

We use payment-related information to manage billing, subscriptions, invoices, payment methods, and related transactions. Payments are processed through Stripe. Monark does not store full credit card numbers.

5.4 To Provide Communications

We may use information to send account messages, support updates, security alerts, onboarding messages, service announcements, transactional emails, SMS-related notices, and other communications related to MONARK OS.

5.5 To Provide SMS and Email Features

If enabled, MONARK OS may allow churches to send SMS, email, or other communications to their contacts. Churches are responsible for obtaining proper consent before sending communications through the Platform.

SMS services may be handled through Twilio. Email services may be handled through Resend or other email providers.

5.6 To Improve MONARK OS

We may use information to analyze usage, improve features, fix bugs, test workflows, monitor performance, develop new features, and improve reliability.

5.7 To Secure the Platform

We may use information to detect, prevent, investigate, and respond to fraud, abuse, unauthorized access, security incidents, spam, misuse, or violations of our agreements.

5.8 For Marketing and Business Communications

We may use information from website visitors, demo requests, beta signups, and business contacts to communicate about MONARK OS, send updates, measure campaign performance, improve our website, and market our services.

You may opt out of marketing emails at any time by following the unsubscribe instructions in the email or contacting us at support@monarkos.com.

5.9 For Legal and Compliance Purposes

We may use information to comply with laws, regulations, legal processes, tax requirements, accounting requirements, contracts, law enforcement requests, or to protect our legal rights.

6. Cookies, Analytics, and Similar Technologies

We may use cookies, pixels, analytics tools, and similar technologies on MONARK OS and monarkos.com.

These technologies may help us:

  • Keep users logged in
  • Remember preferences
  • Improve website performance
  • Understand website traffic
  • Analyze usage
  • Improve features
  • Measure marketing campaigns
  • Protect against abuse or fraud

You may be able to control cookies through your browser settings. If you disable cookies, some parts of MONARK OS may not work properly.

7. Artificial Intelligence Features

MONARK OS may include artificial intelligence features in the future.

If AI features are made available, they will be designed to support church operations and improve the Platform.

Monark does not use church customer data, member data, donor data, children's data, or private church records to train generalized public AI models.

If AI-related subprocessors are used in the future, Monark will use reasonable efforts to limit their use of data to providing the specific service or feature being used.

8. How We Share Information

We do not sell church data, member data, donor data, children's data, SMS opt-in data, or personal information for money.

We may share information in the following situations:

8.1 With Service Providers and Subprocessors

We may share information with trusted vendors, service providers, and subprocessors that help us operate MONARK OS.

These may include:

  • Stripe for payments and billing
  • Twilio for SMS and messaging
  • Resend or other email providers for email delivery
  • Cloudflare and Cloudflare R2 for infrastructure, security, file storage, and performance
  • Hosting providers
  • Analytics tools
  • n8n or automation tools
  • Support tools
  • Security and monitoring tools
  • Database, backup, and infrastructure providers
  • Professional service providers such as accountants, attorneys, or consultants

These providers may access information only as needed to provide services to Monark or to support MONARK OS.

8.2 At the Direction of the Church

We may share or process information when directed by the church or authorized church users, including when the church sends messages, exports data, connects integrations, processes donations, invites staff, or uses Platform features.

8.3 For Legal Reasons

We may disclose information if required by law, court order, subpoena, government request, legal process, or if we believe disclosure is necessary to protect rights, safety, security, or prevent fraud or abuse.

8.4 Business Transfers

If Monark is involved in a merger, acquisition, sale, financing, reorganization, or transfer of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and privacy protections.

8.5 With Consent

We may share information with your consent or as otherwise directed by you or your church.

9. SMS Consent and Opt-Out

If a church uses MONARK OS to send SMS messages, the church is responsible for obtaining all legally required consent from recipients before sending SMS messages.

SMS recipients may be able to opt out by replying "STOP" or using another supported opt-out method. Where supported, recipients may be able to opt back in by replying "START" or another supported opt-in keyword.

Monark does not sell SMS opt-in consent or phone numbers.

Churches using SMS features are responsible for complying with applicable SMS, telecommunications, consent, and messaging laws and carrier requirements.

10. Payments

Payments and billing may be processed through Stripe.

Monark does not store full credit card numbers. Payment information may be collected and processed by Stripe under Stripe's own terms and privacy practices.

We may store limited billing-related information, such as customer ID, subscription status, invoices, plan information, payment status, transaction records, and billing contact information.

11. File and Document Uploads

MONARK OS may allow churches to upload documents, files, images, records, or other materials.

Uploaded files may be stored using Cloudflare R2 or other storage providers.

Churches are responsible for ensuring they have the right to upload and store any files or documents inside MONARK OS.

Monark may access uploaded files when reasonably necessary to provide support, troubleshoot issues, maintain the Platform, comply with legal obligations, or protect the security of the Platform.

12. Data Ownership

Churches retain ownership of the data they submit, upload, import, or manage inside MONARK OS.

This includes church data, member data, visitor data, donor data, children's data, attendance data, giving data, communication data, ministry data, documents, and related records.

Monark does not claim ownership of church customer data.

Monark may process church customer data only as reasonably necessary to provide, support, maintain, secure, and improve MONARK OS, or as otherwise permitted by the applicable agreement with the church.

13. Data Retention

We retain information for as long as reasonably necessary to provide MONARK OS, maintain accounts, support churches, comply with legal obligations, resolve disputes, enforce agreements, maintain backups, prevent fraud, and operate our business.

Church data is generally retained while the church account is active.

After cancellation or termination, we may retain data for a reasonable period for backup, legal, accounting, billing, security, support, and compliance purposes.

Some information may be retained longer where required or permitted by law.

14. Data Export and Deletion

Churches may request an export of their data by contacting support@monarkos.com.

Churches may also request deletion of their data, subject to legal, billing, security, backup, and operational requirements.

Certain information may not be immediately deleted from backups or logs, but will be handled according to our normal retention and deletion practices.

Individual church members, visitors, donors, parents, guardians, or other people whose information is managed by a church should first contact the church directly regarding access, correction, deletion, or privacy requests related to their information.

15. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

These measures may include access controls, authentication, encryption where appropriate, monitoring, logging, backups, vendor controls, and security practices designed to protect the Platform.

However, no system, transmission, storage method, or technology is completely secure. We cannot guarantee absolute security.

Users are responsible for protecting their login credentials, using strong passwords, limiting staff access, assigning appropriate roles and permissions, and notifying us promptly of any suspected unauthorized access or security issue.

16. Third-Party Services and Links

MONARK OS or monarkos.com may include links to third-party websites, integrations, payment pages, giving services, communication tools, or other third-party services.

This Privacy Policy does not apply to third-party websites or services that are not controlled by Monark.

When you use third-party services, their own terms and privacy policies apply.

17. International Users

MONARK OS is currently focused on churches in the United States and Puerto Rico.

If personal information is accessed or processed outside your location, it may be transferred to and processed in the United States or other locations where our service providers operate.

By using MONARK OS, you understand that your information may be processed in the United States.

18. Privacy Rights

Depending on your location, you may have certain privacy rights regarding your personal information.

These rights may include the right to:

  • Request access to personal information
  • Request correction of inaccurate information
  • Request deletion of personal information
  • Request a copy of certain information
  • Object to or restrict certain processing
  • Opt out of certain marketing communications
  • Withdraw consent where processing is based on consent
  • Appeal a privacy request decision where required by law

We may need to verify your identity before fulfilling a request.

If your information is managed by a church using MONARK OS, we may direct you to contact that church because the church controls that information.

19. U.S. State Privacy Rights

Some U.S. state privacy laws provide residents with specific rights regarding personal information.

Where applicable, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain uses of personal information.

Monark does not sell personal information for money.

Monark does not sell church data, member data, donor data, children's data, or SMS opt-in data.

If we use cookies, pixels, analytics, or advertising tools that may be considered "sharing" or "targeted advertising" under certain privacy laws, you may contact us at support@monarkos.com to request more information or exercise available rights.

We will not discriminate against you for exercising privacy rights.

20. Marketing Communications

You may opt out of marketing emails by using the unsubscribe link in an email or by contacting support@monarkos.com.

Even if you opt out of marketing communications, we may still send transactional, account, billing, support, security, and service-related messages.

21. Do Not Track

Some browsers offer "Do Not Track" signals. MONARK OS does not currently respond to Do Not Track signals.

22. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we update the Privacy Policy, we will revise the "Last Updated" date above.

If changes are material, we may provide additional notice, such as through the Platform, email, or another reasonable method.

Your continued use of MONARK OS after an updated Privacy Policy becomes effective means you accept the updated Privacy Policy.
